You’ll love coming to work every day if you get, want, and have the capacity to do:

General Administrative Tasks

  • Including, but not limited to:
    • Daily mail sorting
    • Scanning files, receipts & invoices, etc.
    • Maintenance of folder and filing systems
    • Updating termination logs/folders
    • Other tasks as needed
    • Conference room maintenance/meeting set up
    • Office supply maintenance
    • Vendor relationships

Client Service Support

  • Support coordination of client onboarding and review meeting preparation, in alignment with Prospect Lifecycle
  • Assist with client gift and appreciation programs
  • Support client event planning and coordination
  • Build and maintain client relationships
  • Assist with client communication programs and templates

Travel & Events

  • Research and book flights, hotels, and transportation
  • Create detailed travel itineraries
  • Coordinate conference and event registrations
  • Manage travel expense documentation
  • Assist with coordination of team events and client appreciation activities

Executive Support

  • Handle confidential communications and documentation
  • Assist in preparation of materials for presentations and meetings
  • Coordinate with other team members and stakeholders

CRM Management + Digital File Organization

  • Update and maintain client records in CRM system
  • Input new client information and contact details
  • Assist with data cleanup and verification
  • Generate basic CRM reports as needed
  • Support database maintenance projects

Required Skills & Qualifications

  • Familiarity/experience with
    • Microsoft Office + Teams
    • Zoom
    • io (preferred)
    • Redtail CRM (preferred)
    • Envestnet, Tamarac, Schwab (preferred)
    • Constant Contact
    • WordPress
    • General technology savviness and ability to troubleshoot

  • # scheduled meetings without conflicts
  • % of assigned tasks completed on time, without error
  • % of meetings with agenda, materials, and room prepared in advance

  • approximately 25 hours per week at $30/hour per – 5 days/week, hours flexible
